Happistart Travel assists travelers with visa processing and will guide you through the necessary steps to acquire the required visas. 

Who Needs a Visa

• A Schengen visa is required for Finland, Iceland, and Norway for travelers with Jamaican passports and other non-EU nationalities.
   
• Visa-free entry is available for U.S., Canadian, U.K., and EU passport holders (up to 90 days).
   
• All passports must be valid for at least 6 months beyond the return date.
   

Required Documents for Visa Application

Below is the list of documents typically required by the Schengen embassies. Happistart will assist with organizing and reviewing these documents. Supporting files from Happistart (itinerary, hotel, flight confirmation, visa letter, and insurance) will be sent one week prior to your embassy appointment.

1. Visa Application Form
Prefilled form will be provided by Happistart. You are responsible for checking and signing.

2. Photograph
One recent, passport-size color photo with a plain background, facing forward. No dark glasses or head coverings (unless for religious reasons).

3. Valid Passport

• Must be valid for at least 3 months after your intended return from the Schengen area.
• If your passport is less than 1 year old, you may be asked to present your previous passport.
• Foreign nationals must also include their Jamaican residency permit (if applicable).

4. Photocopy of Passport Bio Page
Include a clear copy of your passport's data page.

5. Employment or School Letter

• Job Letter (dated, signed, and on company letterhead) indicating start date, role, salary, and contract duration.
• If self-employed, submit business registration documents.
• If a student, provide an official letter from your school confirming enrollment.
   

6. Bank Letter
Original bank letter stating balances over the last 3 months, currency type, and most recent deposit. Must be dated within 2 weeks of your appointment.

7. Flight Itinerary
Provided by Happistart. Do not purchase airline tickets before your visa is approved.

8. Hotel Accommodation
Hotel reservations provided by Happistart. 

10. Travel Insurance
Happistart will provide an approved travel insurance policy
 

11. Minors (Under 18)

• Original and copy of birth certificate
   
• Notarized travel consent letter from non-accompanying parent(s)
   
• Parent(s)' government-issued ID copies
   

12. Visa Fee

• Visa fee will be communicated at the time of application - fee is 90 euros but varies by conversion to local currency
   

Important Notes

• Happistart will send your finalized supporting documents 1 week before your scheduled consular appointment.
   
• Ensure that your documents are organized and copies are made where needed.
   
• Embassy requirements may vary slightly—if the consular office requests additional documents, you will be notified.
   
• You are responsible for arriving to your appointment at least 15 minutes early and fully prepared.
   
• If you plan to travel shortly before or after this trip, notify the consulate at the time of submission so they can factor this into your passport return timeline.
   

Happistart Travel is committed to providing a seamless booking process. Please read the following detailed payment structure, refund policy, and important conditions before securing your spot.

Booking & Payment Structure

Each trip price consists of two parts:

• Non-Refundable, Non-Transferable Deposit: $500
• Remaining Balance: Due according to the outlined payment schedule
   

Deposit Policy

• Deposits are strictly non-refundable and non-transferable under any circumstances, including promotions or special offers
   
• The $500 deposit is required regardless of any promotional discounts
   
• Your booking is confirmed only after the deposit is received, officially entering you into a contract with Happistart Travel
   

Pricing Adjustments

• The total price of the trip is based on individual demand and is confirmed at the time of booking
   
• If price increases occur due to airfare, accommodation, government fees, or taxes up to 45 days before departure, Happistart Travel reserves the right to adjust the contract price by up to 20%
   
• Clients will be notified in writing of any price changes before being charged
   
• If the price increase exceeds 20%, the client has the right to cancel without penalty
   

Balance Payment & Late Fees

• The remaining balance must be paid no later than 30 days before departure
   
• Late Payment Fees:
  • If a payment is made after the due date, a $350 late fee will be applied every 10 days
     
  • If a payment is more than 10 days overdue and no extension is arranged, Happistart reserves the right to cancel the traveler’s spot
     
  • If a traveler is canceled due to non-payment, they may request a 50% refund of paid fees, provided they submit a request within 30 days of cancellation (subject to cancellation and refund terms)
     
• Late Sign-Up Fee:
   
  • Travelers who book after the standard signup deadline will be charged a $350 late sign-up fee, in addition to their deposit and trip cost
     

Cancellations & Refund Policy

Refund Policy Based on Cancellation Timing

• Outside of 45 days before departure:
   
  • Travelers will receive a full refund minus the $500 deposit, subject to any trip-planning fees already incurred (e.g., airline tickets, accommodations, administrative costs)
     
• 45 - 30 days before departure:
  • A $1,000 cancellation fee will apply, plus any trip-planning fees already incurred
     
• 30 - 0 days before departure:
  • 100% of the total trip cost is non-refundable
     

Exceptions – No Cancellation Fees Apply If:

• Happistart Travel increases the contract price by more than 20%
   
• The traveler has a severe illness (doctor’s documentation required) or experiences the death of an immediate family member
   
• Cancellation is due to a force majeure event (natural disasters, war, government travel bans, etc.) This will also be subject to vendor policies.
   

Hotel, airline, and third-party refund policies apply to all cancellations. Refunds are subject to supplier terms.

Payment Terms & Conditions

• Flexible Payment Options: Multiple payment methods are available, but alternative payment methods incur a $45 transaction fee per payment
   
• Fee Changes: Prices are subject to change until group reservations are finalized
   
• Payment Plan Compliance: Payments must follow the outlined schedule. Failure to pay within 10 days of a due date without an agreed extension results in cancellation
   

Media Release Agreement

By booking a trip, the traveler grants Happistart Travel permission to:

• Use their likeness, voice, and image in promotional materials
   
• Publish, broadcast, stream, reproduce, or display recordings in any format, including print, digital, and video
   
• Utilize media for marketing, advertising, and travel promotion purposes
   

Important Reminders

• Visa Processing Assistance: Happistart Travel will assist travelers with visa applications and provide all necessary travel confirmations. However, travelers are responsible for submitting their applications and covering visa fees
   
• Passport Validity: Your passport must be valid for at least 6 months after departure
   
• Payments Are Final: Late payments will result in additional fees, and failure to pay may result in spot cancellation with limited refunds
